Configuration
The Data Publisher allows you to set variables to ensure that you move or copy only the data you need, where you need it. The
process of setting these variables is simplified through an intuitive user interface and a process that
involves five easy steps.
1. Select Sites – Select the sites that contain the source and destination lists or libraries you want to work with, including “My Sites” for SPS users. For example, if you wanted to move Contact information between lists on sites that are within three levels down of the current site, you would set the “Levels to Search” to 3 and click “Store Settings”.
2. Select Lists and Map Fields – Select your source and destination lists or libraries and map just the fields you want. For example, to move the data from a Contacts list on the Data Publisher Test Site to another Contacts list on the Test site, you choose the source list and then a list that has the same field setup as the destination list you’ve identified. Map the fields you then want to include in the move, and select the list to which the data will be moved.
3. Define Filters – (Optional) Set up filters to limit the records that are included in the data transfer. For example, a filter has been created to locate only those records that have been modified within the past week.
4. Define Data Transfer – Specify whether you want to copy or move the records and whether you want to transfer all of the records, or just specific ones. For example, to move all of these records, you will keep the default of Move in the “Publish Type” field and set “Copy/Move All” to Yes. To add a note or some other information to all of the records to be moved, just type that information in the “Message for All” field, which is available because it was mapped in Step 2.
5. Execute – Perform a test to make sure your configuration settings satisfy all requirements before you copy and move the records. This example shows the results of both the test and the move.
Once these steps are completed, your settings are saved, allowing you to return to the data publisher as needed to reference your saved settings.
